Oral Presentation Guidelines

For the regular papers (including special sessions), the time slot per paper is 15 minutes, typically 12 minutes for presentation and 3 minutes for Q&As. A pre-recorded video of an oral presentation will be prepared by all authors (irrespective of whether participation is in-person or virtual). These recordings will be available to all participants on-demand from the time when the presentation is scheduled in the technical program up until 30 days after the conference is concluded.

How to present?

The presenter who registered in In-person format must attend the conference and present the paper

Pre-recorded video will be played by conference staff at the session, and then presenters could be prepared for a Q&A session immediately following their scheduled presentations

For slides and videos to be verified by the technical program committee, there is considerable urgency in preparing and uploading the files. Accordingly, we ask that you please finalize and upload your slide and video no later than Sept. 20, 2022. This is a HARD DEADLINE, presentations will not be accepted after this date.

After conference

Participants might leave their questions on the virtual platform. Authors are advised to answer the questions within one day after the presentation and no later than Oct. 16, 2022.

Poster Presentation Guidelines

Both e-poster and a 5 mins short video will be available to all participants on-demand from the time when the presentation is scheduled in the technical program up until 30 days after the conference is concluded.

How to present?

The presenter who registered in In-person format must attend the conference and show up to present your poster, it might have some Q&A and discussion during the poster session.

For the participants who are unable to participate in the conference, BioCAS 2022 will assist to print the file and display the poster on site.

The in-person demonstrations will be conducted in presentation booths to set up a working system. Demonstrations may be an interactive software on a laptop, a hardware setup, or even a robot.

Onsite Demo Booth

Facilities Provided:

  1. Two poster boards (200wx200hcm)
    Poster size: A0 Size (width 841mm × height 1189mm; portrait format) is recommended
  2. One table (180Lx60W cm)
  3. Two power plugs (110v/500w): Power adapter should be prepared by presenters
  4. Limited (shared WiFi) wireless internet access.

* Other facilities such as laptop, screen should be prepared by presenters.

* Electricity: Taiwan uses electric current of 110 volts at 60 cycles, appliances from Europe, Australia or South-East Asia will need an adaptor or transformer.

Video Presentation Guideline

1. Instructions for recording your presentation

  • Option 1: PowerPoint “Record Slide”
    PowerPoint offers a convenient Record Slide Show option whereby audio can be recorded individually on each slide and then the entire slide show can be converted to a video file in .mp4 format.  This provides a convenient mechanism for precisely monitoring the time allocated to each slide and editing audio on a slide-by-slide basis to precisely control the length of the entire presentation. To use this function, select Recording on the main menu ribbon in PowerPoint, then select the Record Slide Show function to enable audio recording. After the recording is complete, File/Export/Create a Video can be used to generate a .mp4 file.
  • Option 2: Zoom:
    Zoom also provides a good platform for recording audio over slides.  Adjusting the total length of the presentation may be a bit more involved than using Option 1 if the initial recording is somewhat too long or somewhat too short. https://ieeetv.ieee.org/ieeetv-specials/recording-your-presentation-with-zoom
  • Option 3: OBS:
    A free software package, OBS (https://obsproject.com/), allows also users to capture simultaneously the presenter while speaking with slides. Instructions for using OBS can be found on the YouTube link: https://youtu.be/GXEsSC7rTWw

2. Video Format

  • Slide Format: 16:9
  • Recommended Encoding Setting
    • Format: MP4
    • Compression: H.264 (AAC for Audio)
    • Resolution: Minimum height of 480 pixels
    • Frame Rate: Content should be encoded and uploaded in the same frame rate it was recorded. Common frame rates include: 24, 25, 30, 48, 50, 60 fps
    • Bitrate: Variable
  • File Size Limit: 300 MB or less
